PhD students in Systems Design Engineering are required to successful complete two (2) PhD Annual Progress Meetings with their Advisory Committee
After completing your comprehensive examination and before your thesis defence, you are required to meet annually with your approved Advisory Committee. These meetings are a formal part of your degree completion requirements and are intended to help track your academic and research progress.
Timing
- Meetings should be scheduled within one month of the anniversary of your comprehensive exam.
- You must complete one meeting per year during this phase of your program.
Advisory Committee
The members of the advisory committee are the same as the comprehensive examining committee, except that the inclusion of the internal/external member is at the supervisor’s discretion
What to Expect
Each meeting will include:
- A presentation by you on your research progress (approx. half an hour)
- A discussion and examination with your committee members
- Committee deliberations and feedback
The committee will assign one of the following outcomes:
- Category 1 – Making good progress; continue as planned
- Category 2 – Sufficient progress; action required to address recommendations
- Category 3 – Insufficient progress; remedial action required within four months
If a Category 3 outcome is given, a follow-up meeting must be held within one month of the remedial deadline to determine whether sufficient progress has been made or if withdrawal from the program is necessary.
Action Required
Once you’ve completed your comprehensive exam:
- Set a calendar reminder for your annual meeting
- Coordinate with your supervisor to schedule and document the meeting as soon as possible and provide the date and time to the Academic Services Coordinator – PhD
- Ensure your supervisor signs off on the milestone completion form as part of your degree requirements once your annual meeting is complete
