Guidelines to assist you in seeking reimbursement for travel related to your research. All travel must be pre-approved by your supervisor.

Waterloo International | Safety Abroad

Travelling abroad - Whether you are participating in an exchange, the study abroad program, a field course, research project, internship, or other University of Waterloo business, there are three steps students must complete to meet the University's travel safety requirements:

  1. obtaining approval,
  2. registering travel, and
  3. completing pre-departure and travel risk mitigation activities.

NOTE: Supervisors must approve post-doc and student travel on the International Travel Approval form.

Travel to destinations identified as Level 3 (Avoid all non-essential travel) or Level 4 (Avoid all travel) by the Government of Canada’s Travel Advisories – areas considered high-risk by Waterloo – is not normally allowed. If you intend to travel to a Level 3 or Level 4 destination you must consult with your supervisor and receive approval from the Provost through the approval procedure for high-risk travel.  
Please note that travel costs anticipated to be reimbursed using University administered funds must not to be incurred prior to travel being approved.

Form Description
PhD Comprehensive Background Examination Form (PDF) This form must be completed and submitted 4 weeks before your proposed comprehensive date.
PhD Comprehensive Proposal Examination Form (PDF) This form must be completed and submitted 3 weeks before your proposed comprehensive date.
PhD Degree Completion Form Package (PDF)  
Post Degree Space Request (PDF) This form must be completed and submitted at least 1 week prior to the end of your studies for convocation procedures to begin.
Graduate Student Space Sign-Off Form (PDF) This form must be completed and submitted at the end of your studies for convocation procedures to begin.
