Pharmacy Resident Papers Deposit Guide

The Canadian Pharmacy Residency Board requires that pharmacy residents conduct a research project during their residency, and that a report detailing this work be submitted at the conclusion of the residency.

Beginning in 2020, papers completed in the course of fulfilling residencies administered by the University of Waterloo School of Pharmacy will be archived in UWSpace, the University of Waterloo’s open-access research repository. Your residency coordinator will remind you of this requirement at the start of your residency project.

The following guide will provide you with information and resources to support you through the deposit process.

Copyright

Many scholarly works contain content created by third parties (i.e., other authors and publishers). It is your responsibility to ensure that all content in your residency paper is compliant with the Copyright Act of Canada.

Do you plan on publishing your residency paper?

All research deposited in UWSpace is openly accessible unless otherwise noted by the researcher. This may affect your ability to publish research from your residency paper.

Some publishers may consider your openly available residency paper to be a “previously published work,” even after the work is formatted per publisher guidelines.

Consider contacting the publisher or reviewing the submission guidelines page to see if there are any rules regarding republication.

If publication is jeopardized resulting from the immediate open access of your work, please request an embargo be placed on your residency paper.

Embargoes

An embargo is a set length of time in which access to a scholarly work is closed.

This is sometimes done to protect the right of first publication in a journal, or to provide paid subscribers with priority access to the submission. If you would like to publish, or are in the process of publishing your work, consider applying an embargo to your residency paper if this is required by your publisher.

Residents have the option of selecting a 4-month, one year, or two-year embargo period. Embargo periods will be set from the date of form submission. Contact your residency administrator if you would like to extend your embargo after your initial embargo period expires.

Use the Pharmacy Resident Paper Submission form to submit your work to UWSpace. The following information will be requested in the form:

  • Name*
  • Email Address*
  • Residency Site*
  • Name of your Residency Coordinator*
  • Title of your paper*
  • Date of acceptance* (date your residency coordinator approved your submission)
  • Abstract*
  • Keywords
  • Embargo period* (options include no embargo, 4 months, 1 year, 2 years)
  • University of Waterloo’s Non-Exclusive Distribution License*
  • Your completed resident paper submission*

University of Waterloo’s Non-Exclusive Distribution License

To submit your Pharmacy Residency Paper, you must agree with the University of Waterloo’s Non-Exclusive Distribution license.

This license allows the University of Waterloo to:

  • Share a copy of your work in our institutional repository;
  • Create copies of your work for preservation purposes;
  • Create an accessible copy of your work (e.g., braille format, video, voice recording), for users with print disabilities.

Please note that this license does NOT transfer copyright of your work to the University of Waterloo. You will continue to maintain copyright ownership of your work.
