Summer Registration Tips and Tricks
Verify Your Account Access
- Confirm that you can log in to your CampBrain registration account ahead of time to avoid any last-minute issues.
Allocate Time to Complete All Forms
- Registration requires completing all necessary forms before finalizing. Set aside enough time to complete this step without feeling rushed.
Prepare Your Child’s Vital Information

Be ready to provide essential details, including:
- Medical information (allergies, medications, etc.)
- Emergency contact details
Have Your Payment Information Ready
- Ensure you have your method of payment on hand and double-check that the information you enter is correct to avoid delays.

If you arrive on the registration site within 15 minutes before registration opens, you'll be placed in a short pre-queue.

Keep your browser tab open and check back as needed - you won't lose your place in line.

When registration launches, everyone in the queue is randomly assigned a spot, and the main queue begins.
Sign-in and Sign-out Procedures
To ensure participant safety, please follow these procedures:
Sign-In and Sign-Out:
Authorized pick-up persons must sign participants in and out. Photo ID is required at pick-up, no exceptions. Anyone picking up a participant must be on the Authorized Pick-Up List in our CampBrain registration system.
Participant Release: Participants will only be released to authorized pick-up persons, as indicated on CampBrain household account. With parent/guardian consent, participants over the age of 12 years may sign out, if self-sign-out is indicated on their CampBrain registration.
Changes to Authorized Pick-Up List: To add or remove names for pick up or add self-sign out for participants 12 years and older.
Log into your account HERE
- Scroll to the bottom of the online form.
- Enter the full names of individuals authorized to pick up your participant.
- Names must match the name shown on a valid government-issued photo ID.
- Once you’ve added all names, be sure to click “Complete this Form” to save your entries.
- To allow a participant to sign themselves out, enter their full name followed by the word "Self" in the Pick-Up List and click “Complete this Form.”

To update your contact information

Sign in to your CampBrain account.

Scroll to the bottom and click “Manage People and Household Information.”

Use Edit Details under each name to confirm or update names and phone numbers.

Update address and emergency contacts under Household Details.

Click Save after making changes.
Ensure parent/guardian(s) are listed with their legal name (as shown on their photo ID and have a valid phone number on file. These details are used when signing in and signing out participants.
Health & Medications
Your child’s safety is our top priority. All Engineering Outreach Staff are trained and certified in First Aid and CPR, and all Leaders carry a basic First Aid kit with them at all times.
Any application of First Aid will be accompanied by an injury report which will be communicated to parents/guardians at the end of the day, or through a phone call home if your child needs to be picked up from camp. Our Staff are not medical professionals, and we encourage you to seek professional medical assistance.
If your participant needs urgent medical attention, 911 will be called, and the first responders will assess if they need to be taken to the hospital. We will also contact you or your emergency contacts and stay with your child until you arrive. Please note, you will be billed for any additional costs incurred.
Medication Administration
If your child needs to take medication during camp, please ensure their Participant Form is updated in your Campbrain account. In addition to adding this information to your child’s registration, please inform the Leaders so you can fill out a Medication Administration Form at drop off.
Whenever possible, medications should be administered at home during non-program hours. If they must be taken during camp, consult with your child's physician about alternatives that don't require administration during program hours.
All medications must be in original packaging, clearly labelled with your child’s name and instructions. Staff will securely store medications, while immediate-use medications (like inhalers or Epi-pens) will stay with your child.
Lost items
Engineering Outreach assumes no liability for lost or stolen items. If your child has lost an item, please email engoutreach@uwaterloo.ca describing the item in detail and we will check if the item has been returned to our office. Please include your child’s name, their camp's name and week of participation in all communication.

Participant Code of Conduct
When your child joins our Engineering Outreach programs, you agree to follow our Participant Code of Conduct.
Please take a few moments to review these expectations with your child before camp begins. This will help ensure a safe, respectful, and fun experience for everyone!
Parent/Guardian Code of Conduct
We value the trust you place in us to care for your children and understand that you may have concerns about their experience. When sharing concerns, we ask that you follow these principles:
- Respectful Behavior: Please treat all individuals, including Staff and participants, with respect. Be mindful of others' rights, opinions, and freedom of expression.
- Harassment-Free Environment: We are committed to providing a safe, inclusive space. Please avoid any harassment, discrimination, or abusive behavior.
