Tip of the month: Selecting your proposal’s Effective Term and Year

The proposal forms in Kuali CM now allow Fall 2026 for the Effective Term and Year. Undergraduate proposers may use Fall 2026 for the 2026-27 academic calendar if the submission will arrive at Senate Undergraduate Council (SUC) after the January 2025 SUC meeting (the last opportunity for Fall 2025 items), but with caution.

At present, it is recommended that Fall 2026 records only be created in the following scenarios:

  • When proposing new curriculum (e.g., a new course, a new program/plan)
  • When retiring curriculum with no dependencies
  • When a Fall 2025 version already exists

Once a Fall 2026 record is created and approved, should a Fall 2025 change be needed, it becomes more difficult to request because the Fall 2026 record will exist. Changes can still be made to a Fall 2025 record that pre-exists a Fall 2026 record; but, creating a new Fall 2025 version where one did not exist before will not be possible once a Fall 2026 record exists.

After the January 2025 SUC meeting, once all those records are approved, February and March 2025 will be reserved for cleaning up the academic calendar for publication on April 2, 2025. Departments, faculties, and the Office of the Registrar should be able to remain as flexible as possible in their ability to create editorial proposals to update necessary Fall 2025 records while Fall 2026 versions are not complicating the work.
