Comment guidelines

Important reminders:

  1. Comments are not private; they can be read by any user of the system.
  2. Comments can not be deleted; they are retained permanently in the system and can be viewed after the proposal stage.

Appropriate uses of the comment feature

  • Collaborate during drafting and review of proposalsĀ [reminder: each user in the thread will receive email notifications with each comment].
  • Request assistance/early review from the Office of the Registrar.
  • Request edits from another user.
  • Ask questions that would be beneficial for other users to see the reply.

Best practices

  • Add only necessary users to the conversation thread.
  • Use several comments to track different ideas or to target different system users.
  • Only refer to the proposal being commented on; this might mean your comment needs to be copied/pasted to several proposals.
  • Keep in mind the University of Waterloo's Basic Principles of the Waterloo Workplace.
  • Be clear and concise.
    • For example, are you asking a question, soliciting help, requesting an edit?
    • Does the reviewer have enough context to read your comment and take an action, if applicable?
  • Things not to do:
    • Don't use short-form/acronyms - they might be known between users in the conversation, but perhaps not by all reviewers.
    • Avoid any personal discussions (e.g., weekend plans).
    • Avoid any arguments; these are best handled out of the system (email or in-person).
