Amendments to published curriculum

If a change needs to be made to a published Undergraduate Studies Academic Calendar (USAC), the Office of the Registrar must be contacted before the proposal has been created. Together, the unit/faculty and the Office of the Registrar will determine if a change can be made. If approved, the change may be displayed in the Undergraduate Calendar as an addendum.

The information that will be used to assess if an amendment request will be approved:

  • Calendar year(s) impacted.
  • The Calendar page / course / academic plan involved.
    • Note: Amending courses is more complex because of the timing and impact on the course scheduling process that might be underway.
  • What the change is / if it is an error.
  • If it is believed to be an error, when did the error occur and did each governance committee approve it (and what did they see).

Notes:

  1. It is not possible to update pre-Kuali Curriculum Management academic calendars.
  2. It is not possible to update archived Kuali Curriculum Management academic calendars.

Process

There are two options in order to make an amendment request.

Option 1: Editorial pathway

This option is only possible if a change needs to be made to the most recent version of the USAC, and this has already been discussed and approved by the Office of the Registrar. In this scenario, a user with proposer access in Kuali Curriculum Management can log in to the system and submit a change proposal:

  • Proposal option: Revision
  • Effective Date: Same as the current approved version (no change to it)
  • Proposal Type: Change
  • Rationale: Explanation of the issue/error, with as much detail as possible
  • Workflow Path: Editorial
  • Faculty/AFIW Path(s) for Workflow: List all faculties/institutions that should see the change; each faculty/institution will have a designated reviewer to approve the change prior to the Office of the Registrar receiving the request.

Option 2: Submit a request

This option must be used if a change needs to be made to the current and future (already approved) versions of the USAC, or an amendment is needed for an older version of the USAC. In these scenarios, any individual can submit a request ticket to submit a detailed request. All received requests will be vetted with the faculty/institution's designated contact (e.g., undergraduate office representative) before any amendment is made.
