If a change needs to be made to a published Undergraduate Studies Academic Calendar (USAC), the Office of the Registrar must be contacted. Together, the unit/faculty and the Office of the Registrar will determine if a change can be made. If approved, the change will be displayed in the Undergraduate Calendar as an addendum.
The information that will be used to assess if an amendment request will be approved:
- Calendar year(s) impacted
- The Calendar page / course / academic plan involved
- What the change is / if it is an error
- If it is believed to be an error, when did the error occur and did each governance committee approve
Notes:
- During the transition between academic calendar systems, it may or may not be possible to update pre-Kuali Curriculum Management academic calendar.
- For the publication of the 2024-25 USAC, the Office of the Registrar and faculties have made the best attempt to move data from one system to another and incorporate all approved changes. However, we expect a significant amount of amendment requests. Each request will be assessed on an individual process.
Process
There are two options in order to make an amendment request.
Option 1: Editorial pathway
This option is only possible if a change needs to be made to the most recent version of the USAC. In this scenario, a user with proposer access in Kuali Curriculum Management can log in to the system and submit a change proposal:
- Effective Date: Same as the current approved version
- Proposal Type: Change
- Rationale: Explanation of the issue/error, with as a much detail as possible
- Workflow Path: Editorial
- Faculty/AFIW Path(s) for Workflow: List all faculties/institutions that should see the change; each faculty/institution will have a designated reviewer to approve the change prior to the Office of the Registrar receiving the request.
Option 2: Submit a request
This option must be used if a change needs to be made to one or more versions of the USAC, or the amendment is needed in an older version of the USAC. In these scenarios, any individual can submit a request ticket to submit a detailed request. All received requests will be vetted with the faculty/institution's designated contact (e.g., undergraduate office representative) before any amendment is made.
