How do I create a proposal?

(for undergraduate studies proposers)

Navigate to the desired database in Kuali Curriculum Management: courses, programs & plans, or regulations.

How to create a new proposal

  1.  Select the + New button in the top right corner of the page.

  2.  A new proposal form will open. Complete all required fields and optional fields as necessary in your proposal.
  3. When changes are complete or you are leaving the form, select Save and Exit
  4. When the proposal is ready for workflow, select Submit for Approval.

Reminder

Be sure to save often. If an error is made, select Cancel to go back to the previous saved state or Delete Proposal to start again.

How to modify/change a record

  1. Type in the Search bar to to locate the record.
  2. Open the record by clicking on the record's row in the database.
  3. Verify there is not already a proposal drafted or submitted of the record. The absence of a "View My Proposal" or "View Current Proposal" in the right navigation menu indicates a user can proceed. If either link is present, STOP and do not proceed with changes.

  1. Within the record, select Propose Changes in the right navigation menu.

  2. In the Propose Changes pop-up window that appears, select the appropriate option (i.e., new version or revision, dependent on the effective date for the changes).
  3. An editable proposal form for the record will open (Draft state).
  4. Select the Effective Term and Year the record is to change (if new version was selected); ensure guidelines are followed.
  5. In the Proposal Type field, select Change.

  6. Input all necessary changes, ensuring all required fields are completed. 
  7. When changes are complete or you are leaving the form, select Save and Exit
  8. When the proposal is ready for workflow, select Submit for Approval.

How to retire a record

  1. Type in the Search bar to to locate the record.
  2. Open the record by clicking on the record's row in the database. 
  3. Verify there is not already a proposal drafted or submitted of the record. The absence of a "View My Proposal" or "View Current Proposal" in the right navigation menu indicates a user can proceed. If either link is present, STOP and do not proceed with changes.

  4. Within the record, select Propose Changes in the right navigation menu.

  5. In the Propose Changes window that appears, select the appropriate option (i.e., new version or revision, dependent on the effective date the record needs to be retired).
  6. An editable proposal form for the record will open (Draft state).
  7. Under the Status field, use the pull-down menu to select Retired.
  8. Select the Effective Term and Year the record is to retire.
  9. In the Proposal Type field, select Retire.

  10. Complete all required fields.
  11. When changes are complete or you are leaving the form, select Save and Exit
  12. When the proposal is ready for workflow, select Submit for Approval.

How to create a new proposal using the Duplicate feature

The Duplicate feature in Kuali CM is available for proposers to use on existing records as well as on draft proposals. Selecting Duplicate on a record or draft proposal will create a draft proposal copy of that record or proposal, with content copied over from most form fields.

Form fields where content will not copy over:

  • Effective Term and Year
  • Proposal Details fields (e.g., Proposal Type, Rationale, Supporting Documentation, etc.)
  • Workflow Information fields

Recommended situations for using the Duplicate feature:

  • When creating cross-listed courses.
  • When creating multiple new course proposals simultaneously, with similar base information.
  • When creating a new program or plan that has similarities to an existing one in your department or faculty.

The Duplicate feature must not be used to duplicate:

  • Courses that are approved records (i.e., they are in the Courses database with a Quest Course ID).

To use the Duplicate feature

  1. Type in the Search bar to locate the record. (Alternately, if the curricular item you want to duplicate is a draft proposal, locate the draft proposal under Proposals.)
  2. Open the record by clicking on the record's row in the database.
  3. Within the record (or proposal), select Duplicate in the right navigation menu.

  4. A new editable proposal form will open (Draft state), with most fields populated with content from the original of the record or proposal.
  5. Input all necessary changes, ensuring all required fields are completed. 
  6. When changes are complete or you are leaving the form, select Save and Exit
  7. When the proposal is ready for workflow, select Submit for Approval.
