(for undergraduate studies)
All curriculum proposals are governed by effective dates - i.e., when the change or new curriculum becomes active. Effective dates are normally set for the future.
In Kuali Curriculum Management (CM):
- Allowed effective dates are described in the "Important Information" field at the top of each proposal form. It is expected that proposers review this information before proceeding.
- There are certain effective date restrictions users should be aware of:
- Revision vs New Version selection:
- If a Revision is chosen, the effective date cannot be changed on the form. Changing the effective date would overwrite the existing content.
- If a New Version is chosen, the effective date must be changed on the form. A validation error will display if the same effective date is selected.
- All proposals must be for the next upcoming publication of the academic calendar. Note: Submissions for a future-dated cycle must be held until that cycle opens up in the system, normally in the fall term.
- For example, if the next academic calendar is 2027-2028, all proposals must be for Fall 2027; Fall 2028 would be added as choice only during the fall 2026 academic term, and only for curriculum being approved after the last SUC meeting at which Fall 2027 curriculum can be approved.
- All proposals must have a fall term effective date; the academic calendar is published annually and courses and academic plans are often linked.
- Note: Other academic terms are visible in the field because Kuali Curriculum Management is shared for use with graduate studies, which publishes their academic calendar termly.
- All proposals must have a future-dated effective date, as outlined in the applicable effective dates chart.
- Any amendment requests to the published (current) academic calendar - e.g., editorial fix, link correction, error correction - must be made to the Office of the Registrar prior to submission.
- Any retroactive requests must be made to the Office of the Registrar prior to submission. If a retroactive request is approved, the change will not be reflected in past academic calendars.
- Revision vs New Version selection:
Effective dates chart
The effective dates chart - produced annually in the spring term by the Office of the Registrar - is created to highlight the earliest effective date that can be used for any given Senate-level curriculum committee. When the chart is produced, it takes into consideration the following:
- The publishing cycle of undergraduate recruitment materials.
- The timeline to make admissions-related updates to the Ontario Universities' Application Centre.
- The publishing timeline for the Undergraduate Studies Academic Calendar, as well as:
- the interaction between courses and other courses within the system.
- the interaction between courses and programs within the system.
- Senate and related council meeting dates.
- TIming of fall course scheduling processes.
Editing submission deadline
The editorial submission deadline for the 2026-2027 Undergraduate Studies Academic Calendar has now passed. Further submissions will be considered as an amendment post-publication or for the 2027-2028 publication. Contact the Office of the Registrar before proceeding.
Reminder: All editorial path submissions in Kuali CM must first be reviewed by faculty/institution contacts > this is accomplished by adding the faculty name in the Faculty/AFIW Paths for Workflow field.
