After proposal submission

Once the proposer selects Submit for Approval, the proposal enters the workflow for approvals and its status changes to Under Review. 

When a proposal is Under Review, the original proposer has limited actions available to them:

  • The access to edit the proposal they had while the proposal was in draft becomes unavailable.
  • The only actions remaining are:
    • Withdraw (the proposal from workflow).
    • Add a comment to the proposal.
    • Duplicate [do not use at this stage.]

How to make edits to an Under Review proposal

If further edits to a proposal are deemed necessary by the original proposer after it has already been submitted for approval, the correct process is to reach out to the curriculum contact. The curriculum contact will have access to edit the proposal when it is in their step of the workflow, or will be able to co-ordinate sending the proposal back to the necessary workflow step for the proposal to be edited and move through approvals again.

Withdraw feature

Although the Withdraw link is available during the entire workflow, a proposal should only be withdrawn from the workflow in the following circumstances:

  • If it was submitted in error and it is in the first step of the workflow (i.e., no one has approved yet).
    • If this is the case, reach out to the approver(s) in the first step of the workflow (identified under the Workflow Status field on the Under Review proposal), and let them know the proposal should not yet have been submitted and that it will be withdrawn.
  • If it was submitted temporarily so that other proposals could be updated accordingly (e.g., when a new course or program/plan is being created and it needs to be added to a set of rules in another record – as it must first be in the workflow).
  • If an approver reaches out to the original proposer, asking that the proposal be withdrawn.

Important: An Under Review proposal that has passed the Faculty Council approval step should never be withdrawn without prior consultation with the associate dean bringing it to the Senate-level governance committees.
