What if I currently have an employee working from home?

If you already have staff members who are working from home a number of days per week, then you need to formalize the arrangement through Workday with the appropriate approvals. There is no grandfathering of existing relationships.

What if the arrangement is not working?

The decision as to whether you allow someone flexible work rests with you. If you are not happy with the arrangement, you will need to cancel the arrangement with the staff member and enter the effective end date in Workday. There is a User Guide available to assist with the process.

How long can a flexible work arrangement be in place?

There is a maximum of 12 months for flexible work arrangements.

Where can I see the end date of a current work from home arrangement?

Using Workday, you will be able to access the Flexible Work Arrangement tab. To do so, go to the Worker Profile (blue bar left of screen). From there, click Job from the left-hand menu. There will be a Flexible Work Arrangement tab at the top with the end date.

What if I want the staff member to work from home?

These guidelines are specifically for staff who request to work from home and do not govern staff whose regular place of employment is their home. Please speak to your HR Partner.

What happens if an employee with a flexible work arrangement transfers to another department?

A flexible work arrangement is established based on an employee’s request and their current role. An employee who transfers to another role should discuss their work from home opportunities with their new manager.  A new flexible work agreement should be submitted and approved based on the new role and department.

Under our Flexible Work Guidelines will staff be issued with a T2200 Declaration of Conditions of Employment form?

In accordance with our current University flexible work guideline, the University will not be issuing T2200 forms for the 2023 tax year. 
The Canada Revenue Agency (CRA) issued additional guidance in February 2024 regarding issuance of T2200 forms for the 2023 tax year for employee initiated remote work arrangements. 
After a full review of the CRA guidance, the University will not issue T2200 forms for our flexible work arrangements.  The University continues to issue T2200s for the small number of employees who have full-time, permanent pre-approved work from home arrangements.
