Get ready to move in or out of Campus Housing!

Find out everything you need to know about graduate move-in dates, and what you need to know about moving at the start and end of each term. 

Move-in

Students moving into residence for the spring 2026 term can move into residence starting at 10 a.m. on Friday, May 1. 

Reminders:

  • Please remember to have a physical copy of your government-issued photo ID or your WatCard when picking up your keys. We cannot give you your keys without proper identification. A friend or family member cannot pick up your keys for you.  
  • Move-in details will be provided by email to your @uwaterloo.ca email address in April - please monitor your email address for further details and instructions. 
  • Campus Housing will not be able to accommodate early move-in for the spring 2026 term. Please visit our short term accommodations page if you need somewhere to stay before the earliest move-in date.  

Move-in frequently asked questions

Where do I pick up my keys?

Your keys will be available for pick up at your residence front desk. Please refer to the contact and hours page for desk hours and location. You will need a physical piece of government ID and your student number when you go to move in.   

CAN I PURCHASE/PICK UP MY PARKING PERMIT WHEN I MOVE IN?

WHAT IF I NEED TO ARRIVE AFTER MY ASSIGNED DATE? 

Students who need to arrive after the first day of classes must complete a Late Arrival form or their contract will be cancelled. Instructions on how to complete a late arrival form will be provided in your move-in email.  

Students who do not pick up their keys by the date stated in the email, will be assumed to not be coming and your contract will be cancelled. By cancelling your contract, you will lose your $500 non-refundable deposit and be held financially responsible for your booking.  Review our Withdrawals and Cancellations page for more information on contract cancellations.

Move-out

Students on a graduate housing contract for winter 2026 who are moving out are expected to move out of residence by April 29 at 10 a.m.  

  • NOTE: Graduate students with a winter and spring 2026 contract are not required to move out between terms. 

Reminder: Please be sure to change your mailing address or set up a mail forwarding service through Canada Post to ensure you can still receive your mail. 

Reminders for all graduate students

  • There are a limited number of trollies or dollies available to assist with moving out, so please prepare accordingly.    
  • Any student found to be residing in your room after 10 a.m. on April 29 will be immediately charged $100, and an additional $100 for every additional day.  
  • Failure to return your keys to your residence front desk will result in a $100 lock change charge.  
    • You will receive additional reminders closer to the last day of the term if you have not returned your key.  
  • Campus Housing staff will be entering the townhouses of students who have moved out to prepare them for future students. Any items left behind will be disposed of, which will result in a charge to your account.  

Move-out checklists

1. Confirm your move-out date 

Please email your move-out date, including your unit number and room letter, to the appropriate contact: 

Note: If you’ve been approved for a room change, you will receive a separate email with specific instructions from a Campus Housing staff member 


2. Read the CLV Townhouse End of Term Expectations to understand the requirements before departure. 

3. Report any maintenance issues to clvmaint@uwaterloo.ca before leaving. 

4. Follow the cleaning checklist: 

  • Return your room and living space to its original condition. 
  • Coordinate with your roommates to ensure all common areas (i.e., bathroom, kitchen, living room) are clean. Cleaning charges will apply for all previous residents if common areas are not sufficiently clean for new students moving in.
  • Take out all remaining garbage and recycling from your room or suite (make sure to sort your waste into the designated bins!)
  • Turn off all appliances. 
  • Shut all windows in your room/suite. 
  • Remove all personal belongings from your room, as well as all items in your cupboards, drawers, and dressers.     
  • Drop off unopened food, kitchenware, clothing, or e-waste at the CLV Community Centre for donation or repurposing - thank you for helping us reduce landfill waste! 
  • Remove or discard any leftover food from your room, fridge, or freezer.   
  • Thoroughly look through your room before you lock up to double-check that you do not forget anything. Once you return your keys, we cannot give them back to you
