How to apply
Visit our Important Dates page and sign up for our Campus Housing notification list to stay up-to-date on important Campus Housing Application timelines. While we have hundreds of bedrooms available for graduate students, we do not offer guaranteed housing for most graduate students, so we recommend applying as early as possible to have the most options available to you.
You can apply to live in residence even after the term begins. If you do not see any available beds, please visit our Off-Campus Housing services.
On your application you will be able to select:
Contract type
1 term or 2 terms*
- The 8-month non-renewable bookings start earlier and are the best chance to secure a room when first starting graduate studies at Waterloo.
- *Contract types for newly admitted graduate students: Fall/Winter and Winter/Spring 8-month non-renewable, and Fall, Winter, or Spring (one term renewable)
- Contract types for current graduate students: Fall, Winter, or Spring (one term renewable)
Roommates
You can select up to 4 students per roommate group. All students in the group must be applying for the same term(s). If you don't have a roommate in mind, we will match you with roommates.
Your assignment
Select your building/room/bed in Columbia Lake Village South, accept your contract, pay the $500 non-refundable deposit, and you've secured your spot! No need to wait for a residence offer.

Columbia Lake Village North is typically only available for students who have first lived in Columbia Lake Village South for at least two terms.
Eligibility
To live in Campus Housing, you must be:
- A full‑time graduate student at the start of your contract
- Maintaining full‑time status throughout your stay
Part‑time or inactive students may stay only with faculty/Graduate Studies and Postdoctoral Affairs approval.
Postdoctoral Fellows and visiting scholars are not eligible to live with Campus Housing.
What happens if I complete my graduate degree partway through the term I’m living with Campus Housing?
If you become degree complete* while in residence, you will be allowed to remain in residence for the remainder of the current term that you become degree complete* in.
NOTE: Any contracts for future terms will be cancelled. Please note, you will be held financially responsible for your $500 non-refundable deposit if you need to cancel a future contract due to degree completion. Visit the cancellation page for more details and information.

Please reach out to your Residence Life Coordinator to communicate your intention to become degree complete.
*Degree completion is not the same as degree conferral. Eligibility will be determined based on the date that is reflected on Quest confirming that all degree requirements were completed. This date can often be well in advance of the conferral of your degree (ie. Convocation).
Renewing your contract
If you already live with Campus Housing on a 4‑month renewable contract, you don’t need to re-apply. Each term you will receive an email inviting you to renew your stay in the same room (or switch to a different room if your room is no longer available).

Preparing for new roommates
- If you have a new roommate moving in, all residents in the unit, including the student(s) moving out, need to ensure the common areas (e.g., washroom, living room, kitchen) are clean and ready to welcome a new roommate. Cleaning charges will apply for all previous residents if common areas are not sufficiently clean for new students moving in.
- The roommate moving out is responsible for following the move-out requirements, removing their belongings, and cleaning their bedroom.
- Staff will enter the unit to ensure the washrooms and vacant bedroom are clean and will take additional steps to ensure it is ready for a new resident.
- Residents remaining in the unit are responsible to ensure the common areas remain clean and welcoming for new residents.
Room changes
If you’d like to continue living with Campus Housing but want to request a room change, you first need to renew into your current room (or another available room if your current room is not available) and then submit a room change.
Room changes from CLV South to CLV North are considered, but not guaranteed, for students who have lived in CLV South for at least two terms.
Graduate students may submit one preference-based room change request during the consecutive time that they have lived with Campus Housing. Preference-based room change requests must be submitted during the renewal time period. Please reach out to your Residence Life Coordinator for room change inquiries.
Policies from your Terms and Conditions
Campus Housing, like student housing at many post-secondary institutions, is exempt from the Residential Tenancies Act (RTA) and instead follows University policies and community standards to ensure transparency, equity, and adherence to rights and responsibilities across all our residence communities.

Taxes and Insurance
- Residence fees are tax exempt.
- On income tax Line 6114, students may claim $25 per year as occupancy cost.
- All residents are required to have Personal Belongings (Tenant) Insurance, which protects your belongings in case of unplanned issues like theft, fire, water damage, and more.
Maintenance
- Residents are not permitted to do renovations or modifications in the unit, including installing dishwashers and bidets, which are not typically permitted.
- Students requiring specific equipment/installations due to medical or creed-based needs must apply for a housing accommodation.
- Damages caused by unpermitted installations may result in replacement charges for the residents.
- Residents must contact maintenance if something needs attention.
- Pest control is provided for bedbugs, cockroaches, and rodents: contact maintenance immediately if you notice these pests. Other pests, such as spiders, flies or earwigs are common household pests and can sometimes find their ways indoors. As a result, we typically do not take responsibility for treatment of these types of pests.
Heating and Cooling
- Portable air conditioning units (maximum one per unit) are permitted in Columbia Lake Village North at the resident’s expense.
- Trying to operate more than one a/c unit will override the system and cause your unit to lose power.
- Units must be CSA approved and operate on 115 volts.
- Portable, free-standing units only; window mounted air conditioner units are not permitted.
- Units have forced air gas furnaces
- Air from vents may feel cool even when heating—this is normal
- Contact CLV maintenance with any concerns
Parking and charging vehicles at CLV
- Parking passes can be arranged through Sustainable Transportation.
- The CLV front desk can provide more information about parking tokens for short-term or visitor parking. Any passes must be clearly displayed on the vehicle’s dashboard.
- Visitor parking is also available by using AMP mobile pay app.
- Electric Vehicle (EV) charging is not permitted at CLV. View charging stations on campus.

I would like to explore housing off campus. What are my options?

Can another person (e.g., a family member) receive emails that Campus Housing sends to me?
We will send all emails to your UWaterloo email account once it is active. The most efficient way to have another person also receive emails sent to you from Campus Housing is to set up email forwarding within your UWaterloo email account. Follow the instructions on how to set up email forwarding.
Are the fees paid by year, month, or per term?
Residence fees are assessed and paid per term and follow the University’s fee schedule.
I have accepted my residence offer and have been assigned to a unit. Am I allowed to see my unit prior to move-in?
Columbia Lake Village does not offer in-person residence tours.
On the Campus Housing website, under "Our Residences", you can check out the amenities that come with each unit, photos, and virtual tour videos of units in CLV North and South.
What do I do when I decide to move out from Campus Housing?
If you are on a renewable contract, when you receive your contract renewal offer, you can choose not to renew your room. If you are on a non-renewable contract, you can choose not to apply once that contract is up.

Who do I contact with questions about my residence community?
Residence Life Dons
Every resident of CLV has an assigned Residence Don that they can reach out to for support during their time in residence. Residence Don contact information will be shared with residents at the beginning of each term. Additionally, Duty Dons are on-call from 8pm-8am every day if you require after-hours emergency support. You may see Duty Dons walking around the community in the evening as they complete nightly rounds for safety and security and to connect with the community.
Residence Life Coordinators
Residence Life Coordinators (RLCs) are available over email or in-person if you have questions or concerns while living in residence. You can meet with RLCs to discuss options for personal support, different resources available, or anything else. RLCs are here to listen, help students navigate the residence experience, and help students abide by community rules and policies.

Community Centre Booking Information
Columbia Lake Village Graduate Student & Family Community Community Centre Booking Information
Thank you for expressing interest in booking the Community Centre for your private function. Please take a moment to review the guidelines below.
Booking Guidelines:
- Students wishing to book the Community Centre for a private function must submit their written request to the CLV Residence Life Coordinator at clvgrad@uwaterloo.ca at least 5 business days prior to the requested booking date.
- The Community Center’s bookable space is restricted to the back seating area of the community center (i.e., the wood paneled area where the couches and TV are located).
- Due to fire regulation, gatherings must not exceed 40 guests. If you plan to add furniture to the space (e.g. additional tables or chairs), we recommend having fewer guests.
- Any supplies required must be supplied by the student who is requesting the booking (e.g. tape, scissors, third party rental furniture).
- Recreational equipment can be signed out by any resident during the event. As residence equipment is covered under residence fees, it is not available for sign out under non-residents. However, residents are responsible for rentals from the desk and supplies are subject to availability.
- Stacked room dividers can be provided by Campus Housing should you wish to have more privacy during your event. The CLV Residence Life Coordinator can demonstrate how to access and use these during a scheduled meeting at least 48 hours prior to the event. You can reach out to clvgrad@uwaterloo.ca for support.
- Furniture cannot be removed from the bookable space; however, it can be rearranged within the bookable space to meet the event’s needs.
- The CLV Community Centre is a communal space and as such students booking a private function must respect that other CLV residents will still be permitted to use all the other areas of the Community Centre including the Pool/Ping Pong/Foosball tables, the CLV Front Desk, the kitchenette and the walkway to the laundry room during the event. The event must not infringe on other residents’ use of the Community Centre Space.
Event Rules:
- Must be held during the CLV Community Centre hours for a maximum of 4.5 hours (additional 30 mins included is provided to clean and prepare the bookable space to its original condition after the event).
- The bookable space must be returned to its original configuration at the completion of the event. This includes disposing of all garbage, sweeping the floor, wiping tables and chairs, putting away the stacked room dividers and returning all furniture to its original location (please see image below for the proper configuration of furniture). Residents can access a broom from the CLV Front Desk.
- Please note, in the case of room damage of lack of cleaning, the student who booked the space will be financially responsible for any costs associated with repair/cleaning.
- The CLV Community Centre is not bookable for events during the exam period as this space is used for studying during exams. Other unavailable booking periods will be during St. Patrick’s Day weekend, Halloween or Campus Housing move-in and move-out periods.)
- Guest parking is available next to the CLV Community Centre for a flat daily rate. Please note that beginning January 20, 2025, Sustainable Transportation transitioned to using the AMP mobile pay app in all visitor lots and remove all pay-and-display machines. - Priority will be given to Residence Life and Campus Housing events held at CLV Community Centre.
Additionally, as the CLV Community Centre is a part of residence, all parts of the residence Terms & Conditions and all relevant university policies will apply to functions taking place in this space – e.g., noise, guest policy, communicable disease safety measures, food policies, smoking limitations, alcohol restrictions, animal restrictions, etc. Please refer to your terms and conditions for more information.
