How to: Upload application documents

To apply to jobs on WaterlooWorks, you must upload and submit application documents to be included in your application package. Some documents like your Co-op Work History and Unofficial Grade Report will be automatically generated within the “Documents” tab of WaterlooWorks. Other documents you’ll have to create, upload and submit manually.

Employers will request specific documents within each job description (under “Application Information”) and you can only apply by submitting all required documents.

Note: The University of Waterloo and Co-operative Education have strict regulations and policies regarding the falsification of documents and credentials. For more information around our policies around documents, review our co-op roles and responsibilities.

Document types (submitted in this order)

Co-op work history

This record is automatically generated using the records found in WaterlooWorks and can be found in the “Documents” tab on WaterlooWorks. It contains your name, student ID, registration plan, work term history, any work term evaluations to-date and any planned future work terms. This will automatically populate as the first page of your application package.

Note: If you’re about to enter your first work term, this document won’t contain any information until you start building your experience.

Cover letter Including a cover letter with an application package may be mandatory or optional. When including a cover letter in an application package, be sure to tailor it for the specific job and upload/submit as you would a résumé.
Résumé You are responsible for creating and uploading your résumé into WaterlooWorks. You can set up to three default résumés in WaterlooWorks and choose which one to submit to multiple positions (make sure it isn’t tailored for a specific employer), or you can upload multiple résumés and submit tailored versions for different kinds of jobs/industries.
Unofficial grade report

This report is automatically generated from the information found on Quest and can be found in the “Documents” tab on WaterlooWorks. Automatically releasing grades with co-op job applications complies with Policy 19.

Note: Grades will not be available on Quest until you have completed at least one term at Waterloo. It may take up to 24 hours for your document to be updated on WaterlooWorks from Quest. If you’ve recently transferred from another university, you can choose to add a page to your résumé that includes your final grades.

Other documents You may choose to upload other documents (e.g., page with link to online portfolio, writing sample, coding sample, reference letter) if you wish, or as specified on the job posting by the employer.

To upload a document:

  1. From your WaterlooWorks dashboard, click “Upload a Document”

  2. Select the kind of job you’ll be applying to based on the job board (e.g., Co-op Full-Cycle Service Documents, Graduating and Full-Time Documents, Contract, Part-Time and Volunteer Documents)
  3. Name your document - be sure to differentiate titles between similar documents (e.g., “Last Name, First Name - Document Type”)
  4. Select the type of document you are uploading
  5. Choose a file to upload onto a system - must be in PDF format (under 5MB)
  6. Click “Upload Document”

To set a default document or application package:

  1. Complete the steps above
  2. In the "Documents" tab, click “Upload Default” or “Set Default” under “Your Default Documents”
    • You can set up to three default résumés on the Full-Cycle Service board
    • You can set one default application package on the Full-Cycle Service board
  3. Manage your default documents by clicking “Update Default" or by going to the document and selecting “Remove Default”

Note: We sometimes require you specify a default application package in case an employer requests that your application be added to a specific job. In this case, it’s beneficial to include the following documents in your default application package:

  • Co-op work history
  • Generic résumé
  • Updated grade report

Archiving documents

You can archive past résumés, cover letters or other documents that you no longer require for job applications. By doing so, you remove these documents from any document lists you will see when applying to job postings - this does not impact any previous applications sent using these documents. To use archived documents again for applying to jobs, you will need to remove them from your archives.

How to: Submit/edit/cancel applications on WaterlooWorks

Submit an application for a job on WaterlooWorks

  1. Click the “Apply” button located within the job description
    • If the job requires you to answer pre-screening question(s) please select the correct answer(s) for you and then click the “Next ” button.
  2. Submit an application package
    • To submit your default package (if set), click “Default Application Package"
    • To create a customized application package, click “Create Custom Application Package" and select the documents you wish to include from the drop-down lists
    • Your package name will pre-populate with the Job ID and the first few characters of the organization and job title, however you can edit this
    • Click “Submit” (Note: You can only submit when you’ve added all required documents)

Jobs that are “Unfilled” and “Part-Filled” after a match

If you are still interested in a job from a previous cycle with the “Unfilled – Reposted” and “Part-Filled – Reposted” status, reapply to the position in the subsequent cycle (this will have a new job ID).

Editing application documents

  • Once you apply to a job, your application is frozen and any updates to your documents - including grades or work history - will not be reflected in the application package.

  • If you need to change a detail on one of your application documents or if your grades were recently updated, you can cancel and resubmit your application as long as the application window for the job is still open.

Cancelling applications

  • You'll be able to cancel your application until the application deadline closes. After this time, you must attend any interviews and honour any matches resulting from that application. For more information, review our co-op roles and responsibilities.
  • If you cancel an application before the application deadline closes, this won’t be counted toward your overall application count.

How to: Keep track of your application count

When applying for co-op jobs on the Full-Cycle Service job board, we impose application limits for each posting phase to encourage co-op students to prioritize their applications accordingly. For a detailed look at the timelines and application limits associated with each employment cycle, visit the important dates page.

To keep track of your application count for the current recruiting term:

  1. On the job search overview page of the Full-Cycle Service job board, select the "My Applications" folder (under "My Jobs")
  2. You will be able to see:
    • The total number of applications for the current recruiting term
    • What the application limit is
    • A breakdown of the status of your applications

Note: Your personal application count includes all submitted applications. If you cancel an application before the application period for that job ends, you will get this count back. However, if a job is filled or part-filled and you have not been selected for an interview, you will not receive this count back.

How to: View and manage your applications

You can view your submitted applications at any point and can cancel your applications before the posting deadline.

To view/manage your applications:

  1. On the job search overview page of the Full-Cycle Service job board, select the "My Applications" folder (under "My Jobs")
  2. You can view the specific application package by clicking the "View Application" icon on the left-hand side
  3. You can view the status of your application under the "App Status" column (this might change as the employer makes their selections)
  4. You can cancel an application if the posting deadline has not yet closed using the "Cancel Application" button

How to: Understand your job status and application status

As employers hire through WaterlooWorks, you may see the status of a job posting or your application change. To understand where a job and your application is in the cycle, you can visit the “Postings/Applications” page on your dashboard, or the "My Applications" folder on the job search overview page and look for the following indicators:

  "Applied" "Not selected" "Selected for interview" "Employed"
