Overview
Audience: Employees and managers
Workday check-ins are a documentation tool designed to capture key points from conversations between managers and employees.
It is not a scheduling tool — meetings must still be booked separately in Outlook.
TIP: Think of check-ins as a shared record of your conversation, not the meeting itself.
Step 1: Navigate to Check-ins in Workday
From the Workday home page:

Click Menu (if you have 'Always Show Sidebar' activated, start with Personal).

Under Personal, select Talent and Performance.

Under Goals, select My Check-ins.
Step 2: Create a Check-in

Click on the Create Check-in button.

Select the participant (start typing their name).

Enter the meeting date.

Check the Notify Participant

This sends a task to their Workday inbox

The notification appears in their Daily Digest

It does not create an Outlook calendar booking or invite. Please do this separately. *

Optional items:

Add any topics for tracking ongoing or recurring discussion items

Attach any relevant files

Click save.
*TIP: The check-in captures the conversation. You must use Outlook to schedule it.
Optional: Create and Use Topics
Topics are helpful for tracking ongoing or recurring discussion items.
Note: Each topic sends a notification to the participant.

Select the Topics tab next to Check-ins.

Click Create Topic

Select the participant (start typing their name).

Name the topic (e.g. “Goal progress”, “Workflow improvements”.)

Reuse topics in future check-ins, create new ones as needed, and archived older ones (e.g., completed projects, etc.) .
TIP: Topics help create continuity across conversations.
Optional: Document the Conversation
When setting up a Topic (either in the check-in request or separately), you will have two note areas.
Use Shared Notes to capture:
- Key discussion points
- Decisions made
- Feedback shared
- Action items and next steps
- Progress on goals
Shared Notes are visible to both participants and serve as a common record.
Use My Notes for personal use:
- Personal reflections or reminders
- Preparation for future conversations
- Notes you want to revisit later
- Click save to ensure notes are captured
Revisiting check-ins
Use previous check-ins to track progress over time, prepare for future conversations, and support year-end conversations.
Remember: Workday is a living record – update it as work evolves.
