Workday security access

When you're not a manager and require staffing and timekeeping access

Managers do not require Campus Partner or Timekeeper security access. Managers are able to staff casual and student employees in their Job Management supervisory organizations and enter time for those same casual employees with their manager security.

However, if you're not a manager and require this access the information below will help guide you to which security role you need.

What is an Authorized Timekeeper

The Timekeeper role is provided to employees so that they may initiate the task(s) listed below within Workday

Timekeeper Security Retention Policy

If an employee has been assigned Timekeeper security for nine months or longer and has not initiated any of the Workday task(s) below within a consecutive nine month period, their Timekeeper security access will be automatically removed.

Authorized Workday tasks for Timekeepers:

  • Enter Time

What is an Authorized Campus Partner?

The Campus Partner role is provided to employees so that they may initiate the task(s) listed below within Workday

Campus Partner Security Retention Policy

If an employee has been assigned Campus Partner security for nine months or longer and has not initiated any of the Workday task(s) below within a consecutive nine month period, their Campus Partner security access will be automatically removed.

Authorized Workday tasks Campus Partner can initiate:

  1. Hire Employee

  2. Terminate Employee

  3. Change Job

  4. Add Job

  5. End Job

  6. Contract Contingent Worker

Workday Fundamentals for Campus Partners on LEARN

Workday Fundamentals for Campus Partners is a self-guided course created by Human Resources to help you navigate the many functions of Workday. 

The successful completion of the Workday Fundamentals for Campus Partners course is a mandatory prerequisite for Campus Partner security access.

Please see the steps outlined in the table below on how to enroll through LEARN.

How to enroll in Workday Fundamentals for Campus Partners

  1. Log in to Waterloo LEARN
  2. Click the Self Registration link along the top of the system level navigation bar

  1. Locate the WD_101 (Workday Fundamentals for Campus Partners) course in the list and click on it

  1. Confirm that you wish to register in the course by selecting “Register”

  1. You now have access to the Workday Fundamentals for Campus Partners LEARN course and can access it from your class list under "ongoing courses"

When submitting a request for Campus Partner or Timekeeper security access, please ensure you supply the correct Job Management supervisory organization wherein the Campus Partner / Timekeeper will be initiating the authorized Workday tasks. A delay in security access provision will occur if the incorrect Job Management supervisory organizationis supplied in the request. 

Please complete the Workday Security Access Request form (authentication will be required).

If Workday Fundamentals for Campus Partners has not been completed, access will NOT be granted.
