- Only in exceptional circumstances will employees be approved to carry forward more than 10 unused vacation days
With the end of the winter term approaching, many employees may be exploring taking time off to enjoy the warmer months. However, Workday reports indicate that many employees are not using their earned time for the current vacation year, which ends June 30, 2024. Note: Due to the nature of some departments and their positions, carry forward, or when vacations are taken, may vary.
The new vacation year starts on July 1, 2024, and employees should know that:
- Depending on your unit or role, you may carry forward only up to 10 unused vacation days per year for use by June 30, 2025, and,
- Unused vacation days above 10 are forfeited on June 30, 2024, unless an excess carry forward is approved.
To ensure you are utilizing your earned vacation time, please explore your outstanding vacation balance in Workday. You can also use the Workday Assistant chatbot (located in the bottom-right corner of the Workday website or top notification bar of the app), which can assist you with viewing time off balances.
Work with your manager in the coming weeks to schedule vacation time between now and the end of June 2024. If you have a large vacation balance, please consider taking week-long breaks from work or multiple long-weekends, breaks from work are beneficial to your overall well-being.
Requests for carry forward balances more than 10 days will be considered in exceptional circumstances only. Excel files are being prepared for each Executive Council member to highlight any employees tracking towards a balance that exceeds 10 days. Documented rationale is required for any excess carry forward requests.
Managers, we ask that you connect with your teams as it is important as we plan for how we handle any unused days of vacation. Managers can view their team’s vacation balances in Workday. From the Workday home screen, click on the Manager Reports application to select the UW CR Staff Vacation Report.
