Keep your information updated

Action Required by Friday, February 13, 2026

To ensure your 2025 year-end tax forms are correct and to avoid delays with the Canada Revenue Agency (CRA), please log in to Workday and confirm the following:

  • Your legal name is accurate
  • Your mailing address is correct
  • Your Social Insurance Number (SIN) is up-to-date

Instructions for completing these updates are available in Workday User Guides.

Students Receiving Both Workday and Quest Tax Forms

If you will receive both a T4/T4A through Human Resources and a T4A for scholarships or bursaries through Quest, please update your address and SIN in both systems. Changes in Quest do not update to Workday automatically, and vice versa.

Important Change for 2026:

All year-end tax forms will now be issued electronically only.

In previous years, printed tax forms were mailed only to terminated employees, individuals whose contracts had ended, casual employees, students, sessional instructors, and individuals who received a one-time payment. This group represented nearly half of all year-end slips, resulting in significant printing and mailing costs for the University.

As current employees already access Workday throughout the year for payroll and HR-related activities, electronic tax forms provide a faster, secure, and more efficient method of distribution. Moving to electronic-only forms reduces operational expenses and supports a more sustainable, environmentally responsible process.

Going forward, T4s and T4As will be available electronically through Workday, or in your Canada Revenue Agency account (known as My CRA Account), which is recommended for long-term access to all previous tax slips, Notices of Assessment, and personal tax information.  Printed copies of year-end slips will only be available for pick-up at HR upon request by contacting payroll@uwaterloo.ca.

T4As for Retirees

As of this year, we are no longer issuing T4A slips to retirees whose only reportable amount would have been in Box 119 – Employer‑Paid Life Insurance Premiums. Although this amount is a taxable benefit, the CRA does not require a T4A to be filed when Box 119 is the only item reported and the value is under $50.

Retirees who have more than $50 in taxable benefits or who have other reportable items on their T4A will still receive a slip, and Box 119 will continue to include the life insurance taxable benefit where applicable.

My CRA Account:

  • It is highly recommended that you register for a CRA account on the Canada Revenue Agency website.
  • Instructions are provided at the link above.
