Dean of Engineering Meeting Rooms
The Dean of Engineering's office has a few different bookable meeting rooms, all of which are located on the 7th floor of the E7 building. These are available for members of the Faculty of Engineering to book.
These meeting rooms vary in tech capability, from being able to project meeting slides, to built in ceiling mics and cameras with full room view. Be sure to look through what each meeting room has to offer to ensure the space you're booking meets your needs.
E7 7th Floor Bookable Rooms
Faculty Hall - E7 7303 & E7 7363
Faculty Hall is a great room to reserve for conferences, guest speakers, student workshops, etc. This room is best for larger meetings, and is the biggest meeting room on the 7th floor of E7. This room has a soundproof folding wall that can be used to divide this space into two separate rooms. It typically is set up as an auditorium style layout. There are currently a total of 62 tables and 118 chairs, lined up to face the two podiums and whiteboards located at the back of the room. These tables and chairs all have wheels, and are free to be moved during bookings as long as they are returned to their original places.
This room is equipped with two projectors and screens, located at the back of the room for presentations. There are built in ceilings mics and two cameras, one at the front of the room and the other at the back, for hybrid meetings. There are also an additional 6 microphones in Faculty Hall if needed, 4 handheld, and 2 clip on mics.
There are two small kitchenettes located at the back of the room, with sinks, that can be used to hold catering. Additional tables for catering can also be booked through Central Stores.
Capacity
- Faculty Hall can hold 59 people on each side, with a total capacity of 118 people for the whole room.

Dean's Boardroom - E7 7411
The Dean's Boardroom is the perfect place to host your hybrid meetings. The boardroom is equipped with one large conference table, and 25 chairs. There is a TV and projector on opposite sides of the room for projecting presentations or online meetings. The boardroom has built in ceiling microphones, and a camera with a view of the table. There are two long counter spaces across the side of the room that can be used to hold catering.
Please note - Zoom is the recommended platform for hybrid meetings in this room.

Meeting Room - E7 7331
The 7331 meeting room is another room that is great for hybrid meetings. This room has one medium sized conference table with 15 chairs, and a TV at the front of the room for presentations or online meetings. Meeting room 7331 is equipped with a rotating camera at the front of the room, and built in ceiling microphones (please do not attempt to manually rotate the camera in this room). There is a small counter space at the side of the room that can be used to hold catering.
Capacity
- The 7331 meeting room has a maximum capacity of 15 people, however, 12 is the maximum number of chairs that can fit around the table comfortably.

Meeting Room - E7 7431
The 7431 meeting room is great to host your in person meetings. This meeting room is equipped with one small conference table and 8 chairs. There is a TV at the side of the room that can be used for presentations through connecting to the HDMI cord provided.
Please note: There are no built in microphones or cameras in this room for hybrid meetings.

Hotelling Office - E7 7462
Have a guest speaker or in need of a quiet space before your meeting? The hotelling office is an empty office space, intended to be used by visiting guests in need of a temporary office. This room is equipped with a desk, a couple desk chairs, and a built in PC.
Capacity
- This desk is made for single person use, but does have an additional 2 chairs in the room for private meetings.
This room is not available for student use.

Booking Policies
- Bookings are subject to unexpected changes due to Engineering's operational needs, which must take priority. As a result, you may be asked, upon short notice, to relocate or have your meeting re-scheduled. If this happens, we will try to assist you in locating an alternative space on campus.
- The Dean of Engineering’s office meeting rooms are not typically used for re-occurring bookings. When submitting a booking request, please provide the dates and times being requested along with a brief description on what the booking is for. Special considerations may be made depending on individual circumstances.
- If the meeting room you have booked is no longer required, please cancel your booking in advance. Consistent no show bookings may result in future booking requests being denied.
- The 7th floor of the E7 building is an office space. Sound in the lobby and hallways must stay at a respectful level. If your booking will create a lot of unavoidable traffic or noise, please inform us ahead of time.
- Use of technology is the organizer’s responsibility. Tech capabilities vary by room. It is recommended to book a time to learn the AV systems in advance, as there is no on site or on call tech support.
- It is up to the organizer to arrange their own meeting and catering supplies. This includes but is not limited to markers, clip boards, chargers, serving ware, dishware, linen, etc. Meeting rooms do not come with coat racks – please book through Central Stores if in need of one for your meeting.
- Furniture can be moved within the room for your booking. Rooms must be returned to their original layout by the end of your time slot. It is the responsibility of the organizer to set-up and clean-up the room. Additional time for this must be accounted for in your booking reservation. The furniture must stay in the room and cannot be moved into the lobby or hallways. Student study tables and chairs in lobbies/hallways must stay in place.
- Please ensure all tables are wiped down at the end of your booking using the cleaning supplies provided.
How to book a room
Request Room Booking

In your booking request, please include which room you would like to book along with a date and time for your booking.
Please Note: All bookings are made at the discretion of the Dean of Engineering’s office. Bookings are subject to unexpected changes due to Engineering's operational needs, which must take priority. As a result, you may be asked, upon short notice, to relocate or have your meeting re-scheduled.
Key Pickup
Any room bookings occurring during regular business hours, 8:30 am - 4:30 pm, Monday - Friday, will have the door unlocked in advance by the Dean of Engineering's front desk receptionist.
If your booking will occur outside of regular business hours, please arrange to pick up a key from the Dean of Engineering's office front desk in advance, during business hours.
Please note - after hours booking requests will be reviewed on a case by case basis.
Catering
Food is allowed in all of our meeting rooms. Catering and all serving ware/dishware is the responsibility of the meeting host to organize. Most meeting rooms have 1-2 kitchenettes or counter spaces that can be used to serve food.
Additional tables for catering outside of the room can be booked through Central Stores
Please note: catering must be set up inside meeting rooms, with the exception of faculty hall
Set up and clean up time for catering should be accounted for in your booking time slot (we recommend booking at least an additional 30 minutes before and after your meeting time). Please wipe down all tables after your event.
