Facilities

Conrad Grebel University College has ideal meeting rooms for a variety of groups. The Board Room is well suited as a formal meeting space for up to 20 people. A bright, attractive auditorium is available for conferences or lectures. The chapel, with its beautiful stone walls and stained-glass windows, is a perfect setting for weddings and other special services. Ask for our brochure entitled Accommodation, Room and Meal Rates for more information on room rentals.

Prices shown do not include HST. Additional staff time will be charged for bookings outside of normal booking hours: Monday-Friday after 8 pm, Saturdays after 5 pm, and all day Sunday.

Please note that additional time will not be provided before or after your booked slot for set up or clean up. Please keep this in mind when deciding how much time to book.

Chapel

The Chapel, with its attractive stone walls, stained-glass windows and excellent acoustics, is an ideal setting for weddings or other special services. We firmly request that no confetti or rice be thrown.

Musical instruments

Piano rental is included in the room rental rate. Pianos are available in most, but not all, rooms. Grand pianos are available in the Chapel and the Great Hall. Pianos are regularly maintained by the Department of Music. If an additional tuning is desired by the renter, it can be arranged through the Conferences, Bookings, & Events Coordinator at the time of booking for an additional fee (approximately $125.00).

The small pipe organ in the chapel is available for a fee of $100.00 per day. The pipe organ must be reserved in advance.

Food and beverages

Refreshment services are available at an additional cost. Our Food Services department reserves the right to provide refreshments for your event. If they are unable to provide the service, then the group is free to bring in their own caterer.

Meal and banquet services are available in our air-conditioned dining room for groups of up to 300 people. Rental of the dining room includes use of the terrace, weather permitting.

The college is not licensed to serve alcoholic beverages. Parties wishing to serve alcoholic beverages must hire University of Waterloo bar services to provide and serve alcohol.

Parking

Parking fees apply Monday to Friday from 7:30 am until 7:30 pm. Parking can be purchased through the Honk Mobile app (Zone 9072) or through the Honk QR code (no app needed). The QR code is available in the main entrance vestibule or at the reception desk. Parking can also be purchased with cash or card at Grebel's reception desk. Parking rates are $3/hour up to $9 per day.

There are two electronic vehicle charging stations located in Grebel's main parking lot. A vehicle utilizing the charging stations must have a valid permit or have purchased parking via HONK. As of September 1, 2022 there will be a usage charge of $1.50 per hour for Grebel's EV charging stations. You are encouraged to move your vehicle to another parking spot once your charge is complete as we are anticipating a high demand for EV charging.

Please note that a parking permit is not a guarantee of a parking spot.

Condition of use

Groups or individuals renting the college facilities may use the college name in their advertising only to indicate the location of meetings or events. In no manner may it be implied in user groups’ advertising or promotion that Conrad Grebel University College is sponsoring or in any way taking responsibility for their meetings or events. The college and its employees shall be held harmless from all claims or liabilities from all parties for damage or loss to any person or property arising out of or during use of college facilities. Conrad Grebel University College recommends that persons or groups renting the facilities arrange for their own insurance coverage. The college will hold rental groups responsible for all damage or loss to any person or property arising out of or during use of college facilities. The “Policy on Use of College Facilities by External Groups” is available upon request.

Conrad Grebel University College requests that all people using college facilities respect the larger college programming that continues throughout the year. Visitors to the college should, in particular, be considerate of the rights of resident students.

Room rental policies and rates are based on the assumption that all groups using the facilities ensure that areas used are left reasonably clean and neat. Groups or individuals who are abusive of college facilities or who are disrespectful of the rights of others will not be permitted to return.

Taxes are not included in prices listed above and will be calculated at the time of billing.

Smoking is not permitted anywhere indoors.

Conrad Grebel University College is not responsible for articles lost or stolen on the premises. Lost and found articles are disposed of regularly in whatever manner the college deems to be appropriate.
