Apartment Selection Committee
The Apartment Selection Committee is comprised of the Student Services Advisory Group and 2 additional students who are nominated by the student body and then appointed by Student Council. The criterion that guides the selection of the ad hoc students appointed by SCE are:
- gender blend amongst students on committee,
- upper year students who have been residents and/or associates,
- students not considering the apartments for their personal living space, and
- one associate and one resident.
Selection Committee configuration and mandate
- Applications will be received and all selections managed by a committee comprised of:
- Student Services Advisory Group. This group includes:
- Director of Student Services (chair of selection process)
- Director of Operations
- Conrad Grebel University College faculty member
- One student
- Two additional students (nominated by the student body and then appointed by the Student Council Executive (SCE) to serve only on the apartment selection process). The criterion that guides the selection of the ad hoc students appointed by SCE are:
- gender blend amongst students on committee,
- upper year students who have been residents and/or associates,
- students not considering the apartments for their personal living space, and
- one associate and one resident.
- Student Services Advisory Group. This group includes:
- The Apartment Selection Committee will have complete latitude to select the applicants which it believes best meet the ‘ideal’ as described in the Policy for Resident and Associate Admissions (Policy #122). Bearing these ideals in mind, decisions will be made considering the following:

- applicants who have made a positive contribution to community life either as a resident or associate
- applicants who demonstrate an interest in, and the ability to engage in the broader College program through leadership roles, mentoring relationships and social interactions
- applicants who have lived in residence or who have associated for a minimum of 3 terms
- applicants on academic term (particularly in Fall term)
- applicants applying for 8 months when Fall term is included (Fall/Winter or Fall/Spring)

- The Apartment Selection Committee will manage the annual ‘flow’ of students occupying the apartments such that:

- maximum occupancy can be achieved in all terms (Spring - max occupancy is 5 full units)
- beds are reserved each winter term for winter only applicants
- a gender balance is maintained
- a faith and faculty blend are achieved as reflected in Policy # 122

General process
- Student information meetings, led by the Director of Student Services, will be held on an annual basis to explain the protocol and procedures for apartment application and selection.
- Applications for apartments will normally be received until the stated deadline. A date will be selected and announced by the Director of Student Services on an annual basis.
- Each student must fill out and submit an application for each new contractual period.
- Names of all applicants will be kept confidential. Number of applicants will be made public.
- Students may apply as individuals or in groupings.
- There will be a maximum of 4 students per unit.
- Apartments may be mixed in gender.
- Equal opportunity will be given to first-time apartment applicants and returning apartment applicants.
- Apartment dwellers will be expected to participate in Community Suppers each week (or a weekly dinner of their choice in the event of a course conflict). The cost for the dinners is embedded in the apartment fees.
- Once decisions have been made by the selection committee, the process will be as follows:
- First round of correspondence: (you will receive one of the following three types of letters)
- Straight offer
- Selected for the term(s ) for which you applied
- Will ask you to confirm back within a couple of days with your intentions to accept or not
- Unique or blended offer
- 8-month contract split between residence and apartment
- Wait list offer
- Placed on active wait list (typically there is some good movement)
- Straight offer
- Second round of correspondence (rec’d within 24 hours)
- For those who received a straight offer or unique offer, the second round of correspondence will:
- Indicate the names of all who have received offers – full groups, partial groups and all individuals that need grouping
- Ask to indicate back first, second and third choice of grouping and/or a list of seven or eight people with whom you would like to live.
- Everyone’s wishes will be considered and a proposed grouping list issued before you have to sign your contract.
- For those who received a straight offer or unique offer, the second round of correspondence will:
- First round of correspondence: (you will receive one of the following three types of letters)
- Contracts will be distributed and required back before Reading Week:
- A $500.00 non-refundable deposit will be required to hold the contract unless the applicant already has $500.00 held in escrow by the College
- Allocation of groups to ‘units’ will happen at a group meeting in March.

Admission's Policy for On-Campus Associates Living in Grebel's Apartment Building
“Conrad Grebel University College is a Christian educational institution informed by the visions and values of the Mennonite tradition and dedicated to serving students, the university community, the church and society.”
In keeping with Conrad Grebel University College’s mission statement and goals, the College strives to create an apartment dweller program for on-campus associates that fosters:
- Christian beliefs and values, particularly as they are understood in the Anabaptist tradition,
- honesty and openness,
- interaction and dialogue between students, faculty and staff,
- valuable life-long friendships,
- the exploration of life meaning and value questions leading to action,
- intellectually stimulating conversation that carries students’ education far beyond the text book and classroom,
- a secure, dynamic living environment that is fun and enjoyable, enabling students to study, learn and grow to their capacity, and
- the development of leaders.
The college prefers to retain upper-year students who will add depth and maturity to student life. The apartment program is primarily intended for upper-year Grebel students who have a history with the college and have made a strong positive contribution to the residence and/or associate programs. Students interested in engaging with the broader College program through leadership roles and mentoring kinds of relationships will be ideal candidates. Particular circumstances may demand special consideration to ensure the best use of the facility and overall college resources. Additional factors may be considered in some circumstances. With this in mind, Student Services will seek on-campus associates who:
- Are sympathetic with Conrad Grebel University College’s values and beliefs;
- Are willing to live within Grebel’s guidelines for Community Living as laid out in the On-Campus Associate Handbook
- Are intending to participate in the wider Grebel community and its activities including enrolling in Grebel courses
- Are interested in exploring life meaning/value questions and willing to be involved in conversation and dialogue with his/her peers, residents, Grebel staff, faculty and administration about such questions
- Are respectful of others and willing to live in an atmosphere where diversity is tangibles
- Are enrolled in one of the Faculties at University of Waterloo or, if Mennonite, Wilfrid Laurier University.
Admissions decisions are made by the Dean of Students Advisory Group.

Availability
Spaces are still available for Spring 2020.
The Grebel Apartments accommodate 32 fantastic Grebelites in the Fall and Winter terms and about 20 during the Spring term. Priority is given to students who are on academic term and have lived at least three terms in residence.
The apartments are currently full for Fall 2019 and Winter 2020.
All interested students are required to fill in an apartment application form, found online or in Student Service. This application should be submitted to the Director of Student Services.
Privileges and responsibilities
In 2003, Conrad Grebel University College created an on-campus suite living option for its' upper year under grad students. Some of the benefits to apartment living include:
- ability to assert increased independence,
- air conditioning,
- ability to live on the doorstep of the University of Waterloo,
- ability to participate fully in the awesomeness of Grebel without having to put on a jacket,
- opportunity to discover the wonders of Kraft Dinner,
- continued supply of Grebel cookies, and
- living with wonderful friends.
